PLAYERS:
Add a New Player
- To begin, from the NExTT Solutions splash screen, click on the Players button in the upper left hand part of the screen.
- Once the Players screen is displayed, click on the green New button in the upper right hand part of the screen
- A new screen with blank fields will appear.
- Fill in the desired fields.
NOTE: Not all fields must be filled in to save the player. The only required field in is “Group/Sport”. You will find Group/Sport in the Player Identification section
- Once all desired fields have been filled in, click the Save button in the upper right hand corner of the screen
Filter Player List
- To filter the player list begin by clicking the Players button.
- You will see a list of player on the left hand side of the screen.
- Above the list of players you will notice headings over each of the columns. By default, the order of the column headers should be as follows. “Players, St (Status), Grp (Group),Pos (Position),ECnt (Episode Count) , Flags”.
- To sort any column alphabetically, simply click on the column heading.
- Above the column headings is a row of filter boxes.
- To show only Active players, either enter an A in the Status filter box and then click the green Go button above, or just click the green Active button.
- Clicking the blue Clear button erases any filtering criteria previously entered and returns to the complete (unfiltered) list of players.
- Any custom search or filter can be made on your list. For example, above the player column, you may type in any sequence of letters to narrow the list down. By typing “Bel” and clicking the green Go button, the list of players will now only show players whose names contain the letter sequence “Bel”
Rearranging Filter Lists
- To change the order of the columns in the player list, simply point to the column you want to move, hold the left mouse button down, drag it to its new position and let it go. The red arrows will let you know where the heading will “drop” if you let go now.
- To increase the width of any column, click on the bar that separates each column. Hold the left mouse button and drag left or right. Let go.
- The entire player list can be increased by dragging the bar that separates it from the rest of the field boxes.
Delete a Player
- There are potentially many steps to take to delete a player. The IMS2 program has been purposely designed this way to insure that you can not accidentally delete a player thus losing that player’s records.
- If you select a player and try to push the delete button, you will get an error message saying that the player has a certain number of episodes. You must delete the episodes associated with that particular player. Now it doesn’t stop there. You can not delete an episode if there are treatments associated with a particular episode. You must go to the Treatments section.
- Select the Treatments button at Top left. Click on the red personal button in the upper right hand corner next to the edit button.
- Find the player with the treatments you wish to delete. Click the Edit button in the upper right hand part of the screen. De-select all treatments associated with that player by right clicking to subtract treatments. Once all treatments have been deleted, click on the save button in the upper right hand part of the screen.
- Go back to the Episodes section. We can now delete the episode associated with the player because there are no treatments. Find the episode you wish to delete and click on the red delete button in the upper right hand part of the screen. Select OK when it prompts you if you are sure you wish to delete that episode.
- Go to the Players section. We can now delete the player. Select the player from the list and click on the red delete button in the upper right hand corner of the screen. Select OK when it promopts if you wish to really delete the player.
EPISODES:
Add a new episode
- To add a new episode enter the Episodes section and click on the green New button in the upper right hand part of the screen.
- A list of possible players will pop up on the screen. You can easily filter through the list of players by using the field boxes. For example, above players names, typing “smit” and pushing the Go button will filter all players down to those whose names contain “smit” such as Smith.
- Select your player and click OK
- The only required field that must be filled in is the player status. The player status can be adjusted by clicking on the blue question mark at the end of the Team field above League.
- Once the player status has been established, fill out any desired fields on the form.
- Under the Episode Injuries section, the same blue question marks can be used to choose the desired selection. You can manually type in an injury or injury code as well.
NOTE: After selecting the body part, only injuries that pertain to that body part will populate the list under Injuries. For example, by selecting Ankle in body part, the only injuries I will be able to select from within the “Injures” field will pertain to ankle.
- Any treatments associated with the episode can also be added at the time of creation. Left click on any white box under a treatment to add.
- Finally and most importantly, click the Save button in the upper right hand corner of the screen to save this episode.
Deleting an Episode
- The IMS2 program was specifically designed so that you cant not simply just push the delete button and accidentally lose an episode with all its associated treatments.
- To delete an Episode, you must delete any Treatments associated with that episode.
- Enter the treatments section. Click on the red Personal button in the upper right hand corner next to the edit button.
- Find the player with the treatments you wish to delete. Click the blue Edit button in the upper right hand part of the screen. De-select all treatments associated with that player by right clicking to subtract treatments. Once all treatments have been deleted, click on the save button in the upper right hand part of the screen.
- Before we can delete the episode now, we must remove the player status. Go back to the Episodes section. Make sure the episode you wish to delete is still selected on your screen. Click on the Edit button in the upper right hand corner of the screen. Remove any text in the “Team” field which would be the players team status. Click the Save button to save the changes made to the Episode.
- You can now click on the red Delete button in the upper right hand corner of the screen and delete the episode. Push OK to validate your decision.
Using Episode History
- To view an episodes history, first enter the Episodes Section.
- Select a Player and the appropriate Episode. Highlight that Row.
- To the right of the player list, you will see the selected player’s episode with 4 tabs (Main, History, Notes and Attachments). Click on History.
- REMEMBER: Any of the sections on the Episode History Screen can be resized by simply clicking on the outlining border and dragging it to the desired width/height.
- Clicking on any particular treatment will correspond on the calendar by showing up in RED. Dark Green indicates a treatment was done on that particular day. Light Green indicates that the episode was still open, but no treatments were added on that day.
- You can also select a day on the calendar and it will bring up the corresponding day on the Episode History screen. The selected day will always be highlighted in Yellow.
- When you choose any particular day, you can easily identify # of Days this episode has been open by looking at the Notes section.
Adding Episode Notes
- To add notes to an episode, start by first going to the Episodes
- Click the green New button in the upper right hand corner of the screen.
- You will now be in New/Edit mode.
- First select the date of the note you wish to add, followed by the type.
- Finish by writing any text in the Notes field.
- Click the Save button when you have finished editing.
- Once the note is saved, you may use the built in spell check. Select the note you wish to spell check and click the Spell Chk button in the upper right hand part of the screen.
- If you wish to go back and make changes to your note you may do so. Select the note you wish to edit and click on the blue Edit button in the upper right corner of the screen.
- When you have finished with the changes, click the green Save button.
NOTE: You can also run a word search for a specific note. For example, if you have an episode that has been open for a few weeks and wanted to find the day you entered “sprain”, simply click in the open box above the 3rd column (notes) and type in “sprain” or any word. Hit the Enter key. Any day that has that selected word in it will appear.
Adding Attachments
- To add attachments to an episode, start off by entering the Episodes section.
- Choose the player and episode you’d like to add an attachment to.
(You can do this one of 2 ways)
#1: Click on the Attachment tab next to the Main/History and Notes tab.
- Click on the green New button in the upper right hand corner
- The current date will automatically be filled in, or you can change to another date.
- Fill in the “Created by” field and the “Description” field.
- The Document/Image is selected by using the windows explorer. Navigate your way through your computer to find the file you wish to attach. Once you have found the file, double click on it or click the OK button.
- If this is the correct file, click the green Save button in the upper right hand corner.
- Once the attachment has been saved, you can double click on the text in Document/Image and it will open the document listed.
#2: Within the selected player and Episode, click on the History tab.
- Once you are in the history section, find the day and the treatment you wish to add an attachment to. It will usually have a number value in its box.
- On the treatment you have selected, right click the mouse and select Add Attachment on the menu that pops up.
- Fill out the fields as stated before. Push OK when you are done.
TREATMENTS:
Adding Daily Treatments
- To add daily treatments first start by entering the Treatments section of the program.
- Make sure the day you wish to add treatments to is selected on the right. The day should show up in red as the current day selected.
- Once the date has been selected, click the blue Edit button in the upper right hand corner of the screen. You will now be in Edit mode for that day’s treatments.
- Scrolling the mouse over the selection of treatments will yield two things. It will show you the X and Y of where you are at. Instead of number for X and Y, it will show you the player and treatment. This will help you easily track down which player and treatment you wish to add.
- Left clicking on any square will add a treatment to that square. You can keep adding treatments till desired number is achieved.
Changing the Team Status
A player’s Team Status is based on the Episode/Injury that occurred. So it is associated with the episode and not the player. Every time the team status is changed a new time stamped record is created for that team status. The entire history of team status changes is saved in the database. The team status can be change in 3 places:
- Change Team Status on the Episode Screen
- Click the Episodes button at the top
- Click the Edit button in the upper right corner
- Move the mouse over the Team Status field.
- Click the “Blue ?” button to drop down a list of team status’ to choose from
- Select the status you want by clicking on it. Press the Enter key.
- Click the Save button in the upper right corner
- Change Team Status on the Treatments screen (Grid Mode)
– Use this to change multiple players at the same time.
- Click the Treatments button at the top
- Click the Edit button in the upper right corner
- Click in the TS cell of the Player/Episode you want to change
- Type in the new Team Status code in that cell.
- If you don’t know what code you want, with the cursor in a TS cell press the F1 key and a “Sticky Help” window will appear listing each team status and its associated code. Note: Move and resize the “Sticky Help” window and it will keep those setting the next time you use it.
- Click on the team status you want and its code will be placed in the TS cell on the grid below. The cursor then automatically moves to the episode below that. You can just keep clicking Team Status’ on the sticky help window to change all TS cells in the grid, without having to click back and forth between the grid and sticky help window. You can alternatively use the down arrow key to skip episodes where no status change is needed.
- Once you’re done making all the Team Status changes, click the Save button.
- Change Team Status on the Treatments screen (Individual Episode Mode)
- Click the Treatments button at the top
- Select the episode where the Team Status needs to be changed
- Click the 2nd tab at the top with the Episode # on it.
- Click the Edit button in the upper right corner
- Move the mouse over the Team Status field. A blue ? button will appear at the right edge of the field
- Click the ? button to drop down a list of team status’ to choose from
- Select the one you want by clicking on it or using the arrow keys and pressing the Enter key.
- Click the Save button in the upper right corner
REPORTS:
Printing the Coach’s Report
- Click on the Reports button at the top
- Double-click the Coach’s Report item in the list to the left to open up the list of reports using the Coach’s Report column layout.
- You can alternatively click the little + sign to the left
- Select the report you want to print and click the Run button in the upper right corner.
- You can also just double-click the report you want to print.
- A “Print Preview” of the report will show on the screen.
- Click the Print button in the upper left corner of the Preview screen.
- Select the printer and click OK
Adding another column to the Coach’s Report (Adding a “Coach’s Note” )
- Click on the Reports button at the top
- Click “Coach’s Report” in the list on the left
- Click the Edit button in the upper right corner to bring up a list of the columns for this report, and their properties
- The Title is at the top with the layout fields showing below that. The type of layout, the sequence and the font size are to the right of the fields. A sample of the columns with data is shown at the bottom with column properties to the far right.
- To add the Coach’s Note column, click the <add new field> link just above the list of fields. This will add a new column/field to the bottom of the list. It is shown as a * in the list of fields. You can either scroll down to it or move the splitter bar so all fields show.
- Click the * to show the field categories (Players, Episodes, Transactions).
- Select Episodes/Last Coach’s Note.
- Notice that it adds a column to the right of the sample data below the fields.
- The column heading is “Last_Coachs_Note”. It’s not wide enough and the Column heading isn’t what we want so let’s change the column properties.
- Click on the “Last_Coachs_Note” column heading in the sample grid. Notice that the properties for that column show up on the right.
- Change the Header to “Notes”
- Change the Col width to “2000”
- Click the <-Apply button so the changes will show in the grid.
- The Notes column still isn’t wide enough so let’s make it wider. But this time we’ll drag it wider instead of typing in the width.
- Move the mouse to the right edge of the Notes column heading until you get a “right-left” arrow. Click and drag the column wider
- Click the Save button in the upper right corner to save the changes to the layout.
- Now double-click “Coach’s Report” or click the + to show all the reports for that layout.
- Run one of the reports by double-clicking it or selecting it and clicking the Run button.
- Notice that we now have a Notes column and the report has automatically gone from Portrait to Landscape in order to fit all the columns specified.
Copying a report so we can change selection criteria
Some reports may have the columns we want but we may want a different selection of records. In order to get the selection we want without changing an existing report we need to copy the report to get a 2nd report that is “Same as Except”.
- Click the Reports button at the top
- Open the Report layout you want in order to show the list of reports for that layout.
- Select the report you want to copy.
- Click the Copy button in the upper right corner.
- A new report will be created under the layout you had selected. It will have the name “Copy of <1st report name>
- Edit that report, changed the name and the selection criteria as desired
Printing Player History Reports
- Enter the Players section by selecting Players in the upper left hand part of the screen
- The Print button will include all players in the Player list at the left of the screen.
- Clear the filter boxes to include all players in the system.
- Click the green Active button to include only the Active players.
- Enter WR in the Pos (Position) filter box to include only Wide Receivers.
- Enter WR in the Pos filter fox and A (Active) in the Status filter box to include only Active Wide receivers.
- On the side of the print button you will notice a down arrow. This option will allow you to include any notes that are associated with that player. These notes will print on the bottom of the player reports.
